How to Stop Missing Property Leads Across Messaging Apps
A missed lead is usually a workflow failure before it is a notification failure. Give every serious enquiry a person, a state and a next review date.

Use four states, not unread badges#
Unread means only that a message has not been opened. It does not say whether the sender needs a reply, whether the agent is waiting, or whether the conversation is finished. Process each serious property enquiry into one of four states.

Run two short triage sessions#
Choose two predictable times each day for non-urgent enquiries. Search or filter supported messages by person, read enough context to understand the request, and decide the next state. Urgent calls and contractual deadlines still need their own escalation route.
For anything that cannot be completed immediately, create a task phrased as a real action: “Confirm viewing time with Jordan,” not “Check WhatsApp.” Add the date on which the task should return to attention.
Test the recovery path#
A follow-up system is only reliable if a user can recover the source. Use a synthetic lead and complete this test:
- Send a property reference through one supported channel.
- Continue the test conversation on a second supported channel.
- Find the person rather than relying on the app name.
- Create a task from the second message.
- Reopen the original context from the task.
- Send the reply and verify delivery in the provider.
Record any missing history or wrong identity match. Do not generalize from one successful text message to attachments, groups, calls or every account type.
Reduce the causes of missed leads#
- Publish one preferred enquiry route for each listing campaign.
- Keep contact identifiers current and review uncertain merges.
- Turn promises into dated tasks while the conversation is open.
- Review waiting items daily instead of keeping them unread.
- Watch connection-health warnings and expired authorizations.
- Preserve final decisions and documents in the appropriate property or transaction system.
