Define the states#
Use four states across every supported source: reply, waiting, dated action and done. A conversation can change state as the deal moves, but it should have only one current next step.

Process the lead while context is open#
Read the surrounding conversation, confirm the person and source, and make the smallest useful decision. If you promise a brochure, create “Send brochure for property 184 to Taylor.” If the prospect will check financing, set a review date rather than leaving the message unread.

Daily and weekly rhythm#
- Morning: review overdue actions and connection warnings.
- Midday: process new non-urgent enquiries into a state.

- Weekly: review duplicate contacts, stale authorizations and leads with no next date.
Urgent safety, contractual or legal issues require their dedicated process and should not wait for a scheduled inbox review.
Measure follow-through#
Track the number of serious enquiries, the number that reached a dated next action, time to first meaningful reply, overdue actions and leads closed without a recorded outcome. Do not send message bodies, client names or property details into analytics.
The goal is fewer unowned commitments, not an artificially empty inbox.
Prove the workflow first#
Use synthetic conversations across two supported networks. Complete three replies and one message-linked task, then reopen the original context. If the required provider route, history or media behavior fails, keep that step in the native app and document the boundary before onboarding clients.
